Task guide / Prepare
Organize and reuse files with Drive
Find the source and use it where it belongs.
Company files and permission to access them.
How to do it
Find the file
Open Drive, filter by name or collection and check its origin. Folders and collections distinguish your files from shared files or those associated with other contexts.
Review before reuse
Open the file and review available versions, activity and permissions. In a supported chat or discussion, use the file selector to attach it.
Prepare and sign when needed
Use document tools and the simple electronic signature (FES) workflow when required. Review the resulting file before including it in a bid.
What remains
Drive: public resolutions filtered by name and distinguished by origin.
Look up fields and concepts
- File origin
- Drive, chat or another available context. It determines permissions and actions.
- FES
- Simple electronic signature. Check whether the tender terms accept it. It is not FEA.
- Trash
- Deleted-file area with restoration within the permitted scope. Purging is permanent.
Questions about this task
Are deleting and purging the same?
No. The trash supports restoration within the available scope. Purging permanently deletes a file and requires the corresponding permission.
Does every attachment use the same copy?
Workflows distinguish linking a file from saving a copy in Drive. Check the origin and version in the surface you are using.
